Purchasing & Logistics Coordinator

Los Angeles, CA

Part-Time, 20 hours per week ($30/hr starting rate) Kelly Wearstler’s Lifestyle Division is seeking a detail-oriented and proactive Purchasing & Logistics Coordinator to join our dynamic Retail & Lifestyle division. This role is crucial to ensuring that our service is best-in-class, providing a seamless client experience end-to-end. The Purchasing & Logistics Coordinator will be responsible for supporting our Sales, Warehouse, & Production Departments, by processing and submitting purchase orders, ensuring that our vendors adhere to lead times, and supporting with coordination of deliveries to our clients. This role requires exceptional organizational skills, a keen eye for detail, and the ability to work collaboratively with various departments and external partners.

Duties
  • Enter purchase orders accurately and promptly into the procurement system
  • Maintain pricing files across all collections
  • Communicate with vendors to confirm order details, delivery schedules, and lead times
  • Maintain strong relationships with suppliers and address any discrepancies or issues promptly
  • Assist in monitoring inventory levels and coordinating with the Merchandising & Production team to forecast demand
  • Coordinate and oversee the shipment and delivery of materials, components and finished products
  • Work closely with logistics providers to ensure timely and cost-effective transportation
  • Manage import/export documentation and compliance with international regulations
  • Collaborate with the Production and Sales teams to align logistics with production schedules and client delivery timelines
  • Maintain accurate records of purchases, shipments, and inventory
  • Prepare reports on purchasing and logistics activities for review
  • Maintain cross-department calendars and order trackers
Desired Skills & Experience
  • Bachelor’s degree in Supply Chain Management, Business Administration, or related field
  • Minimum of 2 years of experience in purchasing and logistics, preferably within the luxury furniture or high-end goods industry
  • Strong organizational or multitasking abilities
  • Proficiency in inventory management software and logistics tracking systems

Senior Project Architect

Kelly Wearstler is looking for a very talented Senior Architect with experience in and private residential projects, luxury hospitality, and restaurants to join our team. The ideal candidate is strong leader and has proven success in managing multiple large-scale design projects end-to-end. Passion and elevated taste level is a must!

Duties
  • Manage multiple design projects end-to-end across luxury hospitality, commercial and private residential; act as main point of contact for projects
  • Lead design development, drawing and documentation of projects during the design as well as management of the scope, schedule and budget during construction. This includes coordination with clients, contractors and fabricators
  • Oversee submission of budgets and drawing sets, including but not limited to, specifications, technical production and basic code knowledge
  • Scope and plan project milestones and timelines; ensure timely delivery of project deliverables
  • Lead, motivate, and collaborate with teams; identify and execute on professional development opportunities for team members
  • Responsible for management of design team requirements, including resource planning
  • Collaborate with artists and artisans on custom works and projects
Desired Skills & Experience
  • 8+ years experience with Interior Design/Architecture education and background

The ideal candidate is a creative, self-motivated and meticulous individual who is able to lead a strong design team and act in a project management role.

Duties
  • This person should be able to collaborate seamlessly with clients, as well as other designers, architects, contractors, fabricators, artisans, and developers on multiple projects.
  • Responsible for material sourcing and specification, custom furniture design, visual research, furniture sourcing, graphic and visual presentations, in addition to maintaining budgets and project timelines.
  • Creating project documentation including the submission of a full drawing set, specification writing, schedules, and construction administration (submittal, RFI, ASI/IDSK review/response and consultant coordination).
Desired Skills & Experience
  • 8-10 years of experience in interiors or architecture and a degree from an accredited school.
  • Passion for design and an eye for detail.
  • Excellent hand sketching and rendering ability.
  • Knowledge of the full design process including Concept, Schematic, Design Development, Construction Documentation, Construction Administration, Procurement, and Installation.

  • This person should be able to collaborate seamlessly with the designers, architects, contractors, fabricators, artisans, and developers on multiple projects.

  • 1-4 years of experience in interiors or architecture and a degree from an accredited school.

Architectural Designer

Kelly Wearstler is looking for a very talented Architectural Designer with experience in luxury hotels, restaurants and high-end residential projects.As an Architectural Designer you will participate in all project phases and own production of relevant documentation to execute design at a high level. You should be proficient in AutoCAD, Rhino, or Revit, have a knowledge of materials, assemblies and best practices for interior details and construction. Experience in construction administration and some history of completed work a plus.

Duties
  • Work collaboratively across multiple design projects end-to-end across luxury hospitality, commercial and high-end residential; own specific work streams end to end within each project
  • Develop drawing and specification packages, and produce accurate documentation as needed in schematic design, design development, construction documentation phases.
  • Coordinate with FF&E and various design teams to produce plans, elevations, and details in order to ensure design intent is incorporated into documentation packages.
  • Assist with material selection, produce specifications, and review contractor submittals for conformance to design intent.
  • Assist with the development of office documentation standards and practices.
  • Participate in project coordination, construction administration, site visits, and maintain quality control during construction as needed.
  • Collaborate seamlessly with clients, as well as other designers, architects, contractors, fabricators, artisans, and developers on multiple projects.
